Not a directory of everything that exists. Each tool here is tied to a specific business problem — pricing, operations, guest relationships — and worth paying for only where that problem is real for you.

Best for

Operators from one property upwards who are running channels and admin manually, want a direct booking website without commissioning a bespoke build, and want a setup that scales as they add properties.

Why I rate it

Lodgify is the core PMS I'd look at if you want to bring reservations, channel management, guest communication and direct booking infrastructure into one place. The real benefit isn't just "having a PMS" — it's running the business on one operating system instead of five disconnected processes. Fewer manual updates, fewer double-booking scares, better visibility of what's actually booked, and a proper base to scale from. Operators who rely heavily on Airbnb and Booking.com consistently underestimate how much it matters to own the booking journey: a Lodgify website with a real booking engine and payment handling is what turns "we should do more direct bookings" into actual infrastructure. It won't create demand on its own — you still have to give guests a reason to book direct — but it removes the operational excuse.

PriceLabs

Dynamic pricing and revenue management

The problem it solves: Nightly rates set by gut feel, copied from a neighbour, or set once and forgotten — so strong nights sell too cheap and weak nights sit empty.

What it does

  • Automatically adjusts your nightly rates based on demand, seasonality, day of week and local market conditions
  • Responds to lead time — pricing far-out dates and last-minute gaps differently instead of treating every night the same
  • Adjusts for occupancy and booking pace, and helps you manage orphan gaps between bookings
  • Lets you set minimum stays, last-minute discounts and far-out premiums with custom rules
  • Pushes updated prices to your channels automatically

Best for

Operators whose pricing is manual, flat or inconsistent — or who suspect they're underpricing peak dates and overpricing dead ones but can't prove it.

Why I rate it

PriceLabs is one of the first tools I'd look at if pricing is still mostly manual or inconsistent. Its value isn't simply "raising prices" — it's making your pricing decisions consistent. Without it, most operators leave money on the table in peak weeks, price emotionally after a slow fortnight, react too late to demand spikes, and treat a Saturday in August the same as a Tuesday in February. One honest caveat: it is not switch-it-on-and-forget-it. You still need to understand the strategy, set sensible base prices and rules, and review booking pace regularly. It's a decision-making tool, not a substitute for decisions.

StayFi

First-party guest data through your Wi-Fi

The problem it solves: Plenty of bookings, but no owned guest relationship — the OTA sits between you and every customer, and each guest leaves as a stranger.

What it does

  • Replaces your standard guest Wi-Fi login with a branded splash page for your property or brand
  • Collects guest contact details with permissioned, lawful marketing consent when they connect
  • Builds a first-party guest database you actually own, rather than data locked inside an OTA
  • Feeds that permissioned list into your email marketing, so past guests can be invited back directly

Best for

Established operators with steady occupancy who have no permissioned guest database and want direct bookings to compound year after year instead of starting from zero each season.

Why I rate it

StayFi is useful if you want to stop treating every guest as a one-off OTA booking and start building a permissioned first-party audience. The value isn't the Wi-Fi — it's what the Wi-Fi unlocks. When the OTAs sit between you and the customer, you do the work and they keep the relationship. StayFi turns guest stays into an owned audience over time: a lawful, consented database that supports repeat bookings, direct booking marketing and genuine guest relationships. This isn't about scraping OTA data or marketing to people who never agreed to it — guests actively give their details and consent, which is exactly why the list is worth having. It's one of the more structural levers for reducing long-term OTA dependence.
